Planning a Jeju group trip: 5 things to settle before you build the itinerary

A group itinerary does not start with choosing places. Once the group size, purpose, and length are set, accommodation, vehicles, meals, and transfers can be tied together as one. Here are five things worth sorting out before you get in touch.

1. Fix the group size first

In a group itinerary, the first figure that has to be locked in is the number of people. When the number changes, the vehicle setup changes, the room assignments change, and the seating at meals changes with it. Because JejuKimPro designs the itinerary and the quote on the basis of group size and purpose, you need at least a rough scale in hand at the time of the consultation for the discussion to move forward.

If a confirmed number is still difficult, it is better to give a minimum and maximum range. It can be adjusted again at the stage where the terms are worked out.

2. Put the purpose of the trip into one sentence

A corporate workshop, a seminar, a club outing, and group golf all shape the day differently, even with the same number of people. An itinerary that has to protect time for meetings and one built around the round diverge from the very first movement between places.

Once the purpose is clear, it becomes easier to judge what to include and what to leave out. The larger the group, the more the itinerary and the quote are designed anew around the group size and purpose.

3. Decide the length

Length is one of the three axes, along with group size and purpose, that the itinerary is built on. How many days you have determines the number of rounds, whether you change accommodation, and the number of meals.

The shorter the trip, the larger the share of the whole that time spent in transit takes up. Setting the length first and then placing the items within it is the safer order.

4. Decide whether to include golf, and which course

For a group golf itinerary, the choice of course pulls the accommodation and vehicle routing along with it. Because golf, accommodation, vehicles, meals, and transfers are prepared tied together into a single itinerary, once the course is settled the placement of the remaining items falls into place too.

Narrowing the candidate courses down to a few before going into the consultation speeds up the adjustment of terms.

5. Decide who decides and who pays

The process runs in this order: request received, consultation with a coordinator, quote proposal, adjustment of terms, confirmation and payment, and then the trip itself. At each stage there is someone who has to give an answer.

If decision-making authority and who is paying are not sorted out within the group, the stage where the terms are worked out takes longer. Keeping a single point of contact makes the process run smoothly.
